Custom workflows and business process automation for small teams.
A workflow is simply the route a piece of work takes through your business: an enquiry becoming a quote, a booking becoming a job, a job needing sign-off before it's invoiced. I map how that happens today, then design a simpler version. Sometimes that means building bespoke steps from scratch, sometimes automating the repetitive parts, and sometimes just connecting tools you already pay for.
Tell me about your projectWhat I can build
From enquiry to reply
New enquiries are logged, acknowledged and passed to the right person, with a reminder if nobody has picked them up.
From booking to invoice
A confirmed booking sets up the calendar entry, the invoice and the confirmation email, without anyone retyping the details.
Approvals and handovers
Clear steps for who signs off what and who picks the job up next, so work doesn't sit waiting in someone's inbox.
Documents and regular reports
Quotes, contracts or weekly figures filled in from information you already hold, instead of copied across by hand.
What's usually included
- A simple map of how the work moves today and where time goes
- A new workflow designed around your team, with people making the decisions that need a person
- Bespoke steps, automation or links between existing tools, whichever suits the job
- Notifications when something needs attention or hasn't gone through
- Plain-English notes on what happens, when and why
- A handover so your team knows how it works and how to make small changes
How the price is agreed
Tell me what you need the workflow to do. I'll explain the options and agree a written quote before work starts.
The things that make the biggest difference to the price:
- How many steps and people are involved
- Whether it's built from scratch or connects tools you already use
- How well those tools allow other software to connect to them
- How many exceptions and unusual cases need handling
- Any subscription costs for the services it relies on, and whether you want ongoing support
What happens after you get in touch
- 01
Map it
We go through how the work moves now and pick out the steps that take the most time or cause the most mistakes.
- 02
Agree the first workflow
We choose where to start. I put the scope, price and timeline in writing.
- 03
Build and test
I build it and test it with realistic examples, running it alongside your current way of working where that's sensible.
- 04
Switch over
Your team starts using it. If it's helping, we can look at the next workflow.
Questions
Is this just connecting apps together?
Not only that. Connecting existing tools is sometimes the right answer, but a lot of businesses need steps built around the way they work, such as approvals, checklists or a simple internal tool to hold it all together. I'll suggest whatever fits.
Do I need new software for this?
Often not. If a new service is needed, I'll tell you what it costs each month before you commit.
What happens if something stops working?
I build in notifications so problems are visible rather than going unnoticed. Ongoing monitoring and fixes can be part of a support arrangement if you want one.
How is this different from custom software?
Custom software is the tool your team uses. A workflow is how work moves from one step to the next. Some projects need one, and some need both built together. The quote will say which.
Who owns what's built?
Once it's paid for, the work I've made for you is yours. Any third-party services stay under their own terms, and I'll list those in the quote.
